[COMING SOON] Editing a Letter (Admin)

Brief Overview

Once a Letter has been created it may need to be reviewed and changed prior to signing.  This article explains how to use the Scheduler > Letters module and the editing options available to you depending on the Status of the Letter.  

Admin user types are able to edit a Letter in the following statuses:

  • Draft (only if they are user who created it)
  • Ready for Edit
  • Sent for Review

 

The Short Version

  1. Go to Scheduler > Letters and locate the Letter to be edited.
  2. Select the pencil/Edit icon and make changes as required. 
  3. Choose an action button to complete the Letter.  

ImportantLetters in Signed and Sent status cannot be edited.

 

Instructions

1.  Locate the Letter to be edited.

a.  Go to Scheduler > LettersAll tab.

2.  Editing a Letter in Draft status.  

Note:  Letters in Draft status are only visible to the user who created them  

a.  Go to the All tab > click Pencil/Edit icon of the Draft Letter you want to edit > the Letter Creator overlay will appear.

b.  Make any changes to the Letter as required.

c.  Finalise the Letter by selecting:

  • Send for Review  x_Send_for_Review.png
    • Status is updated to Ready for Review/Sent for Review and is moved to the All tab. The provider who created the letter will then be able to Sign and Send this letter. 
  • Save as Draft  x._Save_as_Draft.png
    • Status remains as Draft, in the All tab, and is only visible to the user who created it. The user who created the letter can come back and edit this letter as required.

3.  Editing a Letter in Sent for Review status.  

a.  Go to the All tab > click Pencil/Edit icon of the Letter you want to edit > the Letter Creator overlay will appear.

b.  Make any changes to the Letter as required.

c.  Finalise the Letter by selecting:

  • Send for Review  x_Send_for_Review.png
    • Status is updated to Ready for Review/Send for Review and is moved to the All tab. The provider who created the letter will then be able to Sign and Send this letter.

    • Status remains as Draft, in the All tab, and is only visible to the user who created it. The user who created the letter can come back and edit this letter as required.

 

4.  Editing a Letter in Ready for Edit status.  

a.  Go to the All tab > click Pencil/Edit icon of the Letter you want to edit > the Letter Creator overlay will appear.

b.  Make any changes to the Letter as required.

c.  Finalise the Letter by selecting:

  • Send for Review  x_Send_for_Review.png
    • Status is updated to Ready for Review/Send for Review and is moved to the All tab. The provider who created the letter will then be able to Sign and Send this letter.

    • Status remains as Draft, in the All tab, and is only visible to the user who created it. The user who created the letter can come back and edit this letter as required.

 

5.  When the Letter status is Signed or Sent.  

A Letter cannot be edited once it has reached the status of Signed or Sent.

Note: If a User has been given access to Create, Sign and Send letters they will then have access to edit the letter up until the status of the letter is Sent. Learn about these settings here.
